How It Works - 4 Steps

Step 1 Digital Intake & SMS Dispatch:

Clinic staff generate a digital intake link and dispatch it via SMS directly to the driver’s mobile device. Drivers complete their health history and sign electronically prior to the exam.

Step 2 Physical Examination Assessment:

Clinical records are serialized into SOAP XML format and transmitted directly to the FMCSA National Registry web service without manual portal entry.

Step 3 Instant PDF Certificate Generation:

The system automatically computes qualification eligibility and generates signed, official MCSA-5875 / MCSA-5876 PDF medical certificates.

Step 4 Automated Registry API Submission:

The examiner records vitals, vision, hearing, urinalysis, and systemic evaluations directly into an interactive, validated medical form.

02 FEATURE DRIVER INTAKE & HEALTH HISTORY (MCSA-5875)

The patient intake module digitizes Section 1 of official Form MCSA-5875. Drivers complete identity verification, CDL details, medical record numbering, and 32+ specific health history checkboxes on any smartphone or tablet.

03 FEATURE - PHYSICAL EXAM & DETERMINATION

Medical examiners record clinical metrics directly into validated examination fields. The system enforces complete entry of vitals, urinalysis, vision, and hearing tests before enabling final qualification determination.

  • Objective clinical metrics: Input fields for height, weight, blood pressure, pulse, urinalysis (SpG, protein, blood, glucose).
  • Vision & hearing evaluation: Detailed monocular/binocular acuity testing and forced whisper hearing assessments.
  • Automatic qualification calculation: System assists examiners by highlighting mandatory waiver requirements (Vision, Hearing, SPE) based on input.

04 FEATURE - DETERMINATION & DIGITAL SIGNATURES

The final stage captures medical examiner certification, expiration dates, and dual digital signatures for drivers and providers prior to PDF building and automated government SOAP XML transmission.

05 FEATURE - AUTOMATED REGISTRY API & TELEPHONY

FMCSA National Registry SOAP XML Integration

The TpoService module automatically serializes completed medical examination determination data into compliant SOAP XML payloads formatted according to federal NR_5850 XML schemas. The payload is transmitted directly to the FMCSA Third Party Organization (TPO) endpoint.

Twilio Telephony & SMS Dispatching

Clinics can dynamically search and purchase dedicated local phone numbers directly within the admin interface. Staff select a patient record and click to dispatch an instant intake link via SMS straight to the driver’s mobile device, with real-time SMS usage metrics logged per provider.

Real-Time Slack Operational Alerts

The system connects to Slack via Webhooks (SlackNotificationService), sending structured block messages for every TPO submission, notifying operational teams of successful transmissions or registry response codes.
